Deputy role

To set up proxy permissions in Microsoft Outlook, for both the sharer and the proxy, follow these steps:

Settings on the sharer’s device:

  1. Open Microsoft Outlook.
  2. Click File in the top-left corner.
  3. Select Account settings > Access rights for deputy.
  4. Click Add.
  5. Select the email address of your prospective deputy from your address book, or enter it directly, and click OK.
  6. Set the delegate’s permissions and click OK.
  7. In the ‘Delegates’ window, click OK.
  8. Now set the permissions for the parent mailbox folder by right-clicking on the mailbox name and selecting Folder Permissions.
  9. Set permissions for calendars, tasks, the inbox, contacts, notes, etc.

Settings for the deputy:

  1. Open Microsoft Outlook.
  2. Select File > Account settings > Account settings, then click Change.
  3. Select More settings.
  4. Click the Advanced tab and select Add.
  5. Use the ‘Add mailbox’ option to enter the shared account that you want to display in Microsoft Outlook.
  6. Confirm each of the two open windows by clicking OK.
  7. Complete the process by clicking Next > Finish.

Important:

  • Ensure that the main folder is visible to the deputy. For further information, please refer to the Microsoft Office Support documentation.
  • Please note that the permission settings must be configured correctly and the mailbox must be added to the delegate’s account for the delegate to be able to access the shared folders.
