Sharing a mailbox
To share your mailbox in Outlook 2019 with other Microsoft Exchange 2019 users, follow this step-by-step guide:
- Open Outlook 2019:
- Launch Outlook 2019.
- Access folder permissions:
- Right-click on your email address in the left-hand navigation bar.
- Select ‘Folder permissions’.
- Set access rights for the ‘Default’ group:
- Set the access rights for the ‘Default’ group.
- Click ‘Add’ to grant access rights to users in this group.
- Select and add users:
- Select a user and click ‘Add’.
- Complete the process by clicking ‘OK’.
- Set permissions:
- Specify which permissions the selected user or group should have on your calendar.
- Select a permission level (e.g. Owner, Editor, etc.) or assign permissions individually.
- Save your settings by clicking ‘OK’.
Selectable settings:
- Read: None, All details
- Write: Create items, Create subfolders, Edit my own, Edit all
- Delete items: None, My own, All
- Other: Folder owner, Folder contact, Folder visible
Important: To enable sharing, the folder must (at least) be visible. You should therefore select the relevant option.
Sharing subfolders:
- If you have created subfolders such as ‘Archive’ within your main folder and wish to share these as well:
- Right-click on the relevant subfolder.
- Select ‘Properties’ > ‘Permissions’.
- Repeat steps 3–5 to share the subfolder as well.
