Inbox rules

To set up and manage inbox rules for the automatic redirection or forwarding of messages in the Outlook Web App for your Microsoft Exchange 2019 account, follow these steps:

1. Setting up message forwarding:

  • Accessing the Outlook Web App: Go to the Outlook Web App login page and log in.
  • Accessing options: Select the cog icon > "Options".
  • Inbox and Clean-up Rules: Click on “Email” > “Inbox and Clean-up Rules”.
  • Add a new rule: In the Inbox rules, select > “+ (Add)”.
  • Set rule details:
    • Give the new rule a name.
    • Under “When the message arrives and meets all these conditions”, select the option [Apply to all messages].
    • Under “All of the following actions”, select “Forward message to...”.
    • Select the desired contact or create a new one if necessary.
  • Save the rule: Click “Save” and then “OK”.

2. Setting up message forwarding:

  • Follow the same steps as for message forwarding, but in step 4, under ‘All subsequent actions’, select the option ‘Forward message to...’.

Important information:

  • When you forward a message, it appears as though it came from the original sender. Replies to forwarded messages are sent to the original sender.
  • When using forwarding, the message appears as though it has been forwarded by you. Replies to forwarded messages are sent to you, not to the original sender.
  • It may take up to 60 minutes for the rule to take effect.

Setting up these rules enables you to respond effectively to various email scenarios and ensure that important messages are handled appropriately.
