Outlook 2016

This article provides a step-by-step guide on how to set up your email account in Microsoft Outlook 2016.

Required information

  • Email account; in our example, we are using hallo@centronhosting.de
  • Password for the email account
  • Incoming and outgoing mail servers
  • Mail server ports; you can find these in the instructions

Step 1

Open Microsoft Outlook and click on ‘File’ in the top-left corner to open the account information.

Step 2

To launch the setup wizard, click on ‘Add account’.

Step 3

Select ‘Manual configuration or additional server types’ and click ‘Next’.

Step 4

Now select the ‘POP or IMAP’ options and click ‘Next’.

Step 5

In the next window, start by entering your name and email address. Then select the ‘IMAP’ account type and enter your incoming and outgoing mail server details.

You will receive the name of your new server by email. It is usually different from the mail server shown in the screenshots.

Enter your email address as your username and your password below it. You do not need to tick the box next to ‘Log in using Secure Password Authentication (SPA)’. Finally, select ‘Further settings’.

Step 6

Under ‘General’, you can rename your account and provide further user details. Navigate to the ‘Outgoing server’ tab.

Step 7

There, tick the box next to ‘The outgoing mail server (SMTP) requires authentication’, then switch to the ‘Advanced’ tab at the top.

Step 8

Enter the required ports here. Under ‘Use the following secure connection type’, select SSL for the incoming server and TLS for the outgoing server. Then click ‘OK’.

Encrypted server ports:

ProtocolPortEncryption type
IMAP993SSL/TLS
POP995SSL/TLS
SMTP465SSL/TLS
587STARTTLS

Step 9

Please check your details again and then click ‘Next’.

Step 10

The connection is now being checked. You should see a green tick for both tests. Then click on ‘Close’.

If the test is unsuccessful, please check your entries again.

Step 11

Then click on ‘Finish’.

Step 12

Your mailbox has now been successfully set up and can be used as normal.
